Email acceptable use policy

Last updated: 8 October 2026 (draft)

Draft for legal review before launch. Replace every bracketed item.

This policy applies to every SQWIRO Mail mailbox. It keeps the service trusted so that your mail is delivered.

You must not send

Unsolicited bulk mail (spam), or mail to lists you built without the recipients’ consent.

Phishing, scams or mail that pretends to come from someone else.

Malware, or links to malware.

Mail from an address or domain you are not authorised to use, or forged sender details.

Mail to bought, rented or scraped address lists, or to addresses that bounce or whose owners asked you to stop.

Mail that is unlawful, harassing, threatening or that breaks the Computer Misuse and Cybercrimes Act, 2018.

Bulk and marketing mail

SQWIRO Mail mailboxes are for person-to-person business email. Do not send newsletters, promotions or campaigns to lists, whether or not they agreed to receive them; use SQWIRO Bulk Mail. Do not send automated or system mail at volume from a mailbox. Whether another route for system mail is offered, to be confirmed.

Sending limits

Every mailbox has automatic limits. Messages a day: Lite 300, Standard 1,000, Premium 3,000. New outside recipients a day: 100, 200 and 400. Sent recipients included each month: 1,500, 1,500 and 4,000; above that, overage is charged and mail is not held. Largest message 25 MB. In the first 14 days a new mailbox, and every mailbox of a new customer, is limited to 50 messages a day and 20 recipients a message. Mail between SQWIRO Mail mailboxes does not count toward the monthly allowance. Hourly and per-minute caps to be confirmed.

Protect your accounts

Use strong, unique passwords. Tell us at once if you think a mailbox has been taken over. A hijacked mailbox that sends spam can be suspended to protect everyone else.

Respect the system

Do not try to bypass limits or filters, for example by spreading sending over many mailboxes or rotating recipients. Do not probe our systems, share sign-in details so others can send through your mailbox, or use a mailbox to attack another service.

What we do about breaches

We check outgoing mail automatically and, when in doubt, hold it; held mail waits in a queue for up to 3 days. Mail that carries malware or scores as spam is refused and the mailbox is treated as possibly compromised. Sending is stopped for a mailbox with more than 10 hard bounces in an hour, and suspended for all of a customer’s mailboxes if its bounce rate over 7 days exceeds 2% or its complaint rate exceeds 0.05%. Beyond that we may warn you, suspend a mailbox, suspend your SQWIRO Mail service or end the account, depending on how serious and how repeated the breach is, and we may skip steps for phishing or malware. We will tell your administrator what happened unless the law stops us.

Reporting abuse

If you receive abusive mail that came from a SQWIRO mailbox, write to abuse@sqwiromail.com and include the full message headers. Delivery problems: postmaster@sqwiromail.com.
